MS Word

What is a word process?

A word processor is a special purpose computer program, typically used to set text to type

 

It was probably one of the first tasks ever put onto a computer and has now almost competely replaced the original means of setting word to print.

 

Word processing has gone well beyond its original task of simply replacing typweriters

 

Todays WP contains many features once found only in more advanced programs. Features like:

 

Color printing

Multiple fonts

Multi - window applications

Calculators

Spread sheet features

Database techniques

Image /photo manipulations

 

WP is such an important function on a PC that nearly every application uses some feature of WP

 

Probably the most common feature is that of EDITING

   

Uses of a WP:

 

Letters

Memos

Notes

Labels

Newsletters

Small filing systems

But what is a file?

A file is a collection of similar or related data

 

A book could be thought of as a file

 

A letter to your neighbor could be thought of as a file

 

All these are files and files are how your computer holds data on its storage devices

Starting word:

Windows has a numbers of ways of running programs

Under Windows 3.1

Start windows

 

Open the group containing MS WORD

 

Double click on the WORD icon

Under Windows 95

Click the start button

 

Move to the MS Office entry

 

Shift to the next menu

 

Select the MS Word icon and click

   

Identifying the parts of the Word Window

At the top is the title bar

directly below that is the menu bar

 

From left to right is the FILE...HELP

 

Next is the formatting toolbar or sometimes called the ribbon

 

This bar contains the most common font and format commons

 

Next is the "Standard" Toolbar

 

This toolbar gives a list of quick editting options such as copy, cut and paste

 

Any other toolbar present is optional and will depend on what the user did last

 

In this area you will finds toolbars like outline bars

 

Image bars

 

Box and color bars

 

This and all toolbars are configurable and removable - they’re even mobile

 

You may have a ruler bar next

 

The large window below is the desktop or work place for WORD

 

Below that you’ll find a series of shortcut buttons that will present your document in diffent "views" - we’ll come back to view in a little while

 

Finally you come to the status bar

 

The status bar contains information on the document that currently has focus - and more specifically, where the cursor is located in the document

Working with documents:

All word files, regardless of their extensions, are referred to as documents.

 

Creating a new document

click on "FILE"

 

click on "NEW"

 

in the Title bar you’ll now see the temporary name of your new file "Document #"

 

in the desktop you’ll will now have a blank form - ready for input

   

Locating a document

click on "FILE"

 

trace the FILE menu to the bottom

 

here is a selection of the last X number of Recently Used Files. The value here is variable and under the users command (from 0 to 9)

 

click on the file you wish to edit

   

Opening a existing doc:

If the file you wish to use is not in the Recently Used Files List, then

 

click on "FILE"

 

click on "OPEN"

 

a dialogue box now opens showing you a selection of files in the current directory

 

if this is not the correct drive - change the drive first

 

then change the directory to that which you want

 

then select the specific file

   
 

If you can’t remember the name of your file there are still other ways of locating it

 

click on "FILE"

 

click on "FIND FILE"

 

click on "ADVANCED SEARCH"

 

click on the "LOCATION" tab

 

select the drive and directory to start your search

 

click the "ADD" button

 

toggle on "include sub directories"

 

click on the "SUMMARY" tab

 

fill in the areas that you know will be found in your document

 

click "OK"

 

click "OK"

 

click "search"

 

select your file from the list presented,you can view each file in miniture as you search

   

Editting

Today’s wp are more advanced than those of just two or three years ago. So let’s see some of these special features.

 
  1. Open the class1.doc file you’ll find in your c:\data\class directory
 
  • If you study this file you’ll find a number of mistakes - we’ll fix those in a bit
  •  
  • Word takes advantage of the mouse and keyboard - for example
  •  
  • Find the word "warning" - move the mouse pointer over the word and click
  •  
  • You’ll notice that the cursor now jump into your word
  •  
  • now double click - now the word is highlighted
  •  
  • a high lighted word, phrase, paragraph, table or entire document is now available for other commands.
  •  
  • For example: with turning the highlight off bring the mouse up to the scissors on the toolbar and click - the word is gone! you could have also pressed DEL and done the same thing
  •  
  • now move you mouse over to the right on the toolbar and click on the counter-clockwise arrow - the word is back but still highlighted
  •  
  • Now return the mouse over the highlighted word and right click (stay over the word)
  •  
  • a sub menu appears that allows you to again "CUT" or delete the word. Now in word processing terms cut and delete are not exactly the same (although they look the same to you and I)
  •  
  • try it - "cut the word and then click on the undo button
  •  
  • Let’s try something else - once again double click on the word
  •  
  • now, with the mouse over the word, press down on the left button and hold it
  •  
  • If you look closely you see that something has changed. There below the mouse pointer is a small open rectangle , furthermore you’ll notice that the insertion point has changed into a dotted bar.
  •  
  • Still holding down the left button, move the mouse to the end of the paragraph and release the button. Our word has been moved from one spot to the exact spot we dropped it in.
  •  
  • Try this again - click the undo button and then highlight the word. This time drag and drop the word inside of the sentence but between two other words.
  •  
  • Did you see what happened? The wp pushed the other words out of the way and rearranged the entire paragraph.
  •  
  • Again, undo the last action and double click your word. This time drag and drop the word inside of another word. What happened? Nothing - you can’t insert an entire word into another but you can insert a piece of a word by just highlighting the portion that you want to copy or move.

  • One more thing before we move on - click undo and again double click our word
  •  
  • This time triple click the word and watch what happens. Word now selects the entire paragraph. Everything you just did with one word you can now do with the entire paragraph.
